Accounting outsourcing services transfer the entire accounting function to Á Châu: receiving and validating source documents, posting the ledgers, filing value-added tax and personal income tax returns each period, preparing the annual financial statements, and completing the corporate income tax finalisation. Your company keeps the data and the decisions; the process and the deadlines become our responsibility.

Outsourcing the function differs from hiring an accountant in what happens when something goes wrong. A single in-house accountant is a single point of failure: the person who posts the entry is also the person who reviews it, and when that person resigns in March the year-end finalisation stalls. Under an outsourcing arrangement the work is distributed across a team with a defined preparer and a defined reviewer, the compliance calendar is maintained centrally rather than in one person’s memory, and the working files stay with the firm rather than on one laptop. For a foreign-invested company the argument is usually stronger still, because the parent needs reporting in English on a group timetable while the Vietnamese entity must file in Vietnamese on the statutory one, and reconciling those two calendars is a recurring monthly task rather than a one-off setup.

Scope of service

What the service includes

Document processing

Receive, validate and file invoices, contracts, bank statements and payroll records.

Bookkeeping

General ledger, sub-ledgers, fixed assets, inventory and cost allocation.

Periodic tax filing

Value-added tax, personal income tax and invoice usage reporting.

Statutory financial statements

Annual accounts prepared under the applicable Vietnamese accounting regime.

Annual finalisation

Corporate income tax and personal income tax finalisation returns.

Management reporting

Bilingual reporting packs aligned to the group reporting calendar.

Method

How the engagement runs

  1. Survey and quotation. We review transaction volume, industry, software in use and the state of prior-period records, then issue a written quotation.
  2. Contract and handover. The service contract and confidentiality terms are signed, and the digital signature, e-invoice account and prior records are transferred.
  3. Opening review. Prior-period balances and filed returns are checked before the first period is posted, so known issues surface early.
  4. Monthly cycle. Documents are collected, posted and reconciled; returns are prepared, sent for your approval and filed before the statutory deadline.
  5. Annual close. Financial statements and finalisation returns are prepared, filed and archived, with support if the tax authority reviews them.

Who it suits

Which companies use accounting outsourcing?

Company profileCommon problemWhat outsourcing changes
Newly incorporated companyNo finance staff; unclear first filing obligationsThe compliance calendar starts correctly from the first period
Small and medium enterpriseOne accountant covering every task, no reviewSeparate preparer and reviewer at lower total cost
Foreign-invested enterpriseGroup reporting in English, statutory filing in VietnameseOne team producing both from the same ledger
Representative officeLow volume but full compliance obligationsCompliance maintained without a dedicated hire
Company preparing for finance or saleRecords will not withstand due diligenceBooks standardised before the buyer or bank arrives

If prior-year records are incomplete, a review of the historic books is usually carried out before the recurring service begins, so that the opening balances the new cycle relies on are known to be sound.

Fees

How is the fee calculated?

The fee is driven by the number of transactions and source documents per month, adjusted for the industry and the complexity of the business. Á Châu surveys the actual records and issues a written quotation before the contract is signed; there is no single published price, because a trading company with two hundred invoices a month and a services company with fifteen do not carry comparable workloads.

FAQ

Frequently asked questions

Who owns the accounting data?Your company. Á Châu maintains the records on your behalf and hands over the complete ledger, working files and archived returns whenever you ask, including on termination.
Can you take over records from a previous provider mid-year?Yes. We review the balances and returns already filed for the year, agree any corrections needed, and then continue the cycle from the current period.
Do we still need an in-house finance person? Most companies keep someone to approve payments and hold commercial context. That person no longer needs to be a qualified accountant, because preparation and review sit with Á Châu.
How are documents exchanged each month?By whichever channel suits your team: shared drive, email or a scheduled collection. Missing or invalid documents are flagged back to you within the same cycle, not at year end.
What support is provided during a tax inspection?Á Châu prepares the explanatory file for the periods it handled and attends alongside your team. The scope of that support is written into the service contract.
