Privacy Policy

1. Data controller

We process personal data in accordance with Vietnam’s Personal Data Protection Law 2025 (Law No. 91/2025/QH15) and Decree 356/2025/ND-CP guiding it, which replaced Decree 13/2023/ND-CP from 1 January 2026. Marketing email and messages follow Decree 91/2020/ND-CP on anti-spam.

2. What we collect and why

  • Name, phone number, email, company name and business type — collected when you complete a quotation form, register for a webinar, request a document or contact us. Used to call you back, send a written quotation and send the link or document you requested.
  • Consent checkbox, timestamp, IP address and form page — collected when you tick the consent box. Used as evidence of consent to marketing email under the Personal Data Protection Law 2025 and Decree 91/2020/ND-CP, kept for at least one year.
  • Documents you upload — collected when you use the document submission form. Used for a preliminary review of your accounting records so that we can quote on the actual volume.
  • Browsing data (cookies, pages viewed, device) — collected when you visit the site, subject to your choice in the cookie banner. Used to measure traffic (Google Analytics) and improve content.

3. Marketing email

We send marketing email only to people who have ticked the consent box. Maximum one email per week. Every email carries an [ADV] label at the start of the subject line, full sender details and three ways to opt out: reply to the email, write to linhcskh@dichvuketoanachau.com or call +84 776 112 333. Opt-out requests are processed immediately and we do not email again. Replies to quotation requests, registration confirmations and requested documents are transactional email, not marketing.

4. Sharing

We do not sell or rent personal data. Data is processed only by A Chau staff and by infrastructure providers serving the purposes above: website hosting (Hostinger), email delivery (Brevo, FluentSMTP, Google Gmail API), analytics (Google Analytics, Meta Pixel), calls and Zalo. These providers process data only on our instructions.

5. Retention

Contact data and consent evidence: at least one year from your last interaction, or until you ask us to delete it. Documents submitted for a preliminary review: deleted after 90 days if no engagement is signed. Records of clients who have signed an agreement: retained in line with the Law on Accounting and Vietnamese record-keeping rules.

6. Your rights

Under the Personal Data Protection Law 2025 you have the right to be informed, to consent, to access, to withdraw consent, to erasure, to restriction of processing, to obtain a copy, to object and to complain. 7. Cookies

The website uses necessary cookies to operate and analytics cookies only when you accept them in the cookie banner. You can change your choice at any time through the cookie settings link in the footer.

8. Security

The whole website is served over HTTPS; form data is stored in access-controlled systems; staff access client data on a need-to-know basis. If an incident affects personal data, we notify affected individuals and the competent authority as required by law.

9. Data received from Google APIs (Gmail)

We use Google APIs in a narrow scope to send transactional email from our own mailbox (replies to quotation requests, registration confirmations, requested documents, filing reminders). The access granted is permission to send email; we do not use it to read, analyse or profile anyone else’s mailbox, for advertising, or to sell data.

Information received from Google APIs (sender and recipient addresses, subject and body composed by us, delivery status) is used only to send that email and is stored in our mail system for the retention period in section 5. A Chau’s use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.

You can revoke access at any time on your Google Account permissions page. Once access is revoked we cannot send email through Gmail until access is granted again.

If we later use any additional scope (for example reading a mailbox to answer client email), the purpose and scope will be stated in this section before it is used.

10. Changes to this policy
